Job Summary
We are seeking an experienced and detail-oriented Patient Access Manager to oversee the front desk operations and ensure seamless patient flow within our healthcare facility. The ideal candidate will possess strong administrative skills, a comprehensive understanding of medical billing and coding, and proficiency with various Electronic Health Record (EHR) systems. This role is vital in coordinating patient intake, verifying insurance, managing medical records, and supporting overall clinic operations to deliver exceptional patient service and maintain compliance with healthcare regulations such as HIPAA. Bilingual abilities and clinic experience are highly desirable to enhance communication and efficiency across diverse patient populations.

Duties

  • Manage patient scheduling, registration, and check-in processes using EMR systems such as Epic, Meditech, Athenahealth and other office management software.
  • Verify insurance coverage, perform insurance authorization and verification procedures, including Medicare and Medicaid eligibility checks.
  • Handle medical billing and collections efficiently while ensuring accuracy in CPT coding, ICD-9/ICD-10 coding, and documentation review for billing purposes.
  • Maintain accurate medical records in compliance with HIPAA regulations and ensure proper documentation for all patient interactions.
  • Supervise front desk staff to deliver excellent patient service through phone etiquette, multi-line phone system management, and clerical support such as filing, data entry (10 key typing), and document management.
  • Oversee appointment scheduling, rescheduling, and cancellations while managing care plans and intake procedures for new patients.
  • Support administrative functions including office management tasks like filing, faxing, copying, and maintaining office supplies.
  • Facilitate communication between clinical staff and patients to ensure clarity regarding treatment plans, billing inquiries, and follow-up appointments.
  • Ensure compliance with healthcare regulations related to health information management and medical administrative support.
  • Assists both CFO and facility leaders with inquiries as a result of Revenue Cycle workflows.

Requirements

  • Associates degree or higher preferred.
  • Proven experience in medical office management or healthcare administrative support within a clinical setting.
  • Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth or similar platforms.
  • Familiarity with medical billing processes including CPT coding, ICD coding (ICD-9/ICD-10), insurance verification, Medicare/Medicaid procedures.
  • Excellent understanding of HIPAA regulations concerning patient privacy and health information management.
  • Exceptional organizational skills with the ability to manage multiple priorities efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel), typing skills (including 10 key typing), and computer literacy related to health information systems.
  • Strong customer service skills with professional phone etiquette; bilingual abilities are highly preferred to serve diverse patient populations effectively.
  • Ability to work independently as well as part of a team in a fast-paced healthcare setting; prior experience in medical scheduling or front desk operations is desirable.
