Job Overview

We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our CEO and executive team. This role is essential in ensuring the smooth operation of daily activities and will involve a variety of administrative tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple priorities effectively.

Responsibilities

  • Performs secretarial needs for the President/CEO.
  • Receives and directs visitors and incoming telephone calls.
  • Schedules and coordinates appointments, meetings, and special functions for the President/CEO.
  • Transcribes and distributes minutes of Board of Directors meetings and Board committee meetings.
  • Makes necessary reservations for President/CEO, Board members, and physicians to attend meetings, conferences, etc.
  • Coordinates and secures signatures for various documents.
  • Performs requested research to provide specific information needed.
  • Sorts mail and directs to appropriate person.
  • Maintains files and updates Board of Directors Policy & Procedure Manual.
  • Prepares recommended responses to letters received from patients, family members, job applicants, and Medical Staff.
  • Maintains confidentiality of appropriate health system information.
  • Completes all typing and word processing assignments through establishing and following procedures and formats for President/CEO.
  • Orders and maintains necessary supplies, processes invoice payment requests, and maintains membership and subscriptions.
  • Handles patient complaints, via telephone or in person, as they occur. Contacts appropriate manager, director, or vice president for follow-up.
  • Provides assistance where needed to assure smooth flow department functions

Qualifications

  • Associates degree in Business Administration or a related field.
  • Strong project coordination skills with the ability to manage timelines and resources effectively.
  • Excellent transcription skills for accurate documentation of meetings and discussions.
  • Demonstrated experience in providing executive administrative support within a corporate environment.
  • Exceptional event planning capabilities with attention to detail in logistics management.
  • Strong administrative skills with proficiency in office software applications.
  • Ability to type quickly and accurately while maintaining professionalism in all communications.
  • Experience as a personal assistant or office clerk is a plus.
